Moving to Byaan · Start with a clear inventory

Start your move with clarity. From the very first record.

Your institute's data may be in files, on a platform, or spread across several places. Identify what you have and what you need on launch day. Then review what can be imported and what needs setting up again before agreeing on a migration plan.

Where will you start?

Choose your current setup and data type, then explore the preparation and validation required at each stage of migration.

Start with an organised copy of your files, clear column headings, and a list of the courses learners will be linked to.

Review priorities: incomplete rows, inconsistent phone number formats, and duplicate learners.
Data structure and migration requirements

Identify the learner before linking them to a course

There are workflows for importing learners and previewing their data. Files must match the required template, with a clear approach to existing accounts.

Importing a learner record does not transfer their password from the previous system. Review account activation and learner notifications before starting.

Identify your courses and learner data, and Byaan will help you complete your academy's move. Select what you have prepared so we can show you the next step.

What does your academy need to move to Byaan?

Prepare your learner data and course content, and identify your contact person and start date. These details help the Byaan team organise your academy's move.

1

Prepare learner and instructor data

  • An Excel file with learners' names, email addresses, and mobile numbers.
  • Each learner's enrolled course, subscription status, and expiry date, if any.
  • Instructors' names and the courses they teach.
Required: learner file and instructor list
2

Prepare course content and prices

  • Course names, descriptions, and enrolment prices.
  • Lesson videos or links and files, organised by each course's modules.
  • Assessment questions, certificate requirements, and live session schedules, if applicable.
Required: course list and content files
3

Choose an owner and start date

  • Assign someone from the academy to coordinate with Byaan and review learner and course data.
  • Choose the first course to move to Byaan and your preferred start date.
  • Before launch, check that a learner can sign in and open lessons. For paid courses, complete a payment specifically for verification.
Required: a coordinator, start date, and completed trial run

Essential migration questions

Clear boundaries early on make discussions easier and prevent mismatched expectations during implementation.

Will our entire platform move to Byaan?

That cannot be confirmed before reviewing the data, design, content, and integrations. Some records have import workflows; other parts may need setting up again or retaining in an archive. Scope is explicitly agreed before implementation.

Can we keep learners' passwords?

We do not assume passwords can be transferred. Handling existing accounts, activating new ones, and notifying users are reviewed according to the import workflow and each account's status.

How long does migration take?

Timing depends on the number of sources, file quality, content scope, and operational and review requirements. A timeframe is discussed after checking a sample and defining what will move. This page does not guarantee a completion date.

Should I send learner data here?

This page does not accept files. Start by describing data types, volumes, and column structures without personal information, then agree with the team on a suitable channel and method for sharing a sample.

Start with the scope that matters to you.

Describe your current source, the data you need, and the first programme you want to run. This helps define the review questions before proposing an implementation plan.
